Privacy Policy

This Privacy Policy explains how Oliver AI (“we,” “us,” “our”) collects, uses, shares, and protects information when you visit sayoliver.ai, run a practice call, or otherwise interact with us. The Oliver product application at app.sayoliver.ai is governed by a separate in-product privacy notice that supersedes this policy for authenticated product use.
Information we collect
We collect the following categories of information:
- Information you give us. For the free practice call, your first name and email address; Business practice requires a work email. Other forms may also ask for your company domain, role, team size, use-case selection, and any free-text messages you submit.
- Practice-call content. Audio captured during a practice call, the resulting transcript, and the coaching scorecard generated from it. We process this content through third-party AI providers (see “Service providers” below) to deliver the practice experience.
- Usage data. Pages viewed, links clicked, device and browser metadata, approximate location derived from IP address, referring URL, and timestamps. We collect this through Google Analytics 4 and PostHog.
- Security signals. IP address and other signals used by Cloudflare Turnstile to distinguish humans from bots before the practice call begins.
For the free practice call, a security check runs before the call, and no account is created.
How we use information
- Deliver the practice call, transcript, and scorecard you requested.
- Reply to your enquiries and follow up on demo requests.
- Improve our marketing pages, products, and AI scenarios.
- Send service-related and (where you have consented) marketing communications.
- Detect and prevent abuse, fraud, and security incidents.
- Comply with applicable legal obligations.
Legal bases for processing
Where the GDPR or UK GDPR applies to you, we rely on the following legal bases: performance of a contract (delivering the practice call you requested), our legitimate interests (running and improving our business and securing our services), your consent (where required for marketing or non-essential analytics), and compliance with legal obligations.
Service providers and sharing
We share information with third parties only to operate the service. Our key providers include:
- Cloudflare — hosting, DNS, and bot protection (Turnstile).
- HubSpot — customer relationship management for demo and contact form submissions.
- Google Analytics 4 — aggregated website analytics.
- PostHog — product and funnel analytics. Direct email is removed from server-captured demo telemetry before it is sent to PostHog.
- Slack — restricted operational notifications for failed demos, completed business demos, and bookings.
- Vapi, Cartesia, and OpenRouter — real-time voice transport and AI inference used to run the practice call and generate transcripts and scorecards.
We do not sell your personal information. We do not use practice-call content to train third-party large language models without your specific permission.
Cookies and analytics
We use a small number of cookies and similar technologies for essential site function and analytics. You can disable non-essential cookies through your browser settings. Disabling analytics will not affect your ability to use the practice call.
International transfers
Our service providers operate globally, including in the United States and the European Union. Where personal information is transferred outside your jurisdiction, we rely on the providers' standard contractual clauses or equivalent safeguards.
Data retention
We retain contact and CRM records for as long as needed to manage our relationship with you and to meet legal and accounting obligations. Practice-call audio and transcripts are retained for as long as needed to deliver the scorecard and improve our scenarios, after which they are deleted or anonymised.
Your rights
Depending on where you live, you may have the right to access, correct, delete, or port your personal information, to object to or restrict certain processing, and to withdraw consent. You can exercise any of these rights by emailing hello@sayoliver.ai.
Children
Oliver is intended for use by businesses and adult professionals. We do not knowingly collect personal information from children under 16.
Security
We use industry-standard administrative, technical, and physical safeguards to protect your information. No system is perfectly secure, and we cannot guarantee that unauthorised access will never occur.
Changes to this policy
We may update this policy from time to time. Material changes will be reflected in the “Last updated” date above, and where appropriate we will notify you by other means.
